Action items are one of the most used features in Instant Agenda. That’s not surprising since action items are one of the most common ways to follow up on discussions that occur in a meeting which help lead to better meeting outcomes. We’ve made some recent improvements in Instant Agenda to make action items even easier to use.
Default Deadline
To make action items even easier to create we’ve added a default deadline of one week. In the many cases where this is the deadline, this saves you from having to open the calendar and select a deadline manually.
Filtering
To make it easier to find the action item you’re looking for, we’ve added filtering and search to the action item views as seen here:
The State and Due Date filters allow you to quickly find action items in a given state or date range. The search filter allows you to search for actions items that contain the search text across a range of fields; the owner name, the action item description or notes, the associated meeting name, or the associated topic description.
Manage Action Items Across Meetings
As a moderator of multiple meetings, you currently have to go to each of your meetings to see all the actions items for that meeting; there is no way to see all of the action items across all meetings, except those that are assigned to you. We’ve changed that. The My Action Items tab has been renamed to Action Items. If you are not a moderator, this tab will continue to show only the action items that are assigned to you. But for moderators, there is a new All tab that shows the actions items in all of the meetings that you moderate.
Improved Assignment
Sometimes you need to assign an action item to someone who isn’t a user of Instant Agenda (perish the thought). Previously, you’d write their name in the Assigned To field and move on, having to manually follow up with them about it later. Today, you can enter that person’s email address into the Assigned To field and they will receive an email with the details of that action item. Using that email, they can mark the action item as complete (by replying to the email), taking out the follow-up hassle.
